Why should couples consider hiring a Vermont wedding planner?

One of the biggest decisions couples make during the wedding planning process is whether to hire a wedding planner. While every celebration is different, our Vermont wedding planners overwhelmingly agree: having an experienced professional by your side can save you time, reduce stress, and ultimately help you create a wedding day that feels more meaningful and enjoyable.

“Your wedding day is one of the most important days of your life, and you deserve to actually enjoy it. A good wedding planner is not just someone who makes lists. We are your advocate, your logistics expert, your design partner, and honestly, your buffer between you and all the moving parts that a wedding has. We know all the vendors, we create amazing timelines, we know what questions to ask before any problems even show up. Most couples have never planned a wedding before. We do this every single season. That experience protects you, your budget, and your peace of mind in ways you cannot fully appreciate until you are standing at the altar and everything just… flows.” – Jaclyn, Jaclyn Watson Events

“Couples should 1000% hire a wedding planner so that they can truly ENJOY the planning process while putting the stress on someone else to manage the day to day to-do lists, vendors, timelines, and logistics. Wedding Planners provide expert guidance, prioritize what matters most to YOU, bring your design and vision to life, and ensure that you can be fully present on your wedding day.  The day flies by so quickly and you want to be able to soak it all in while feeling confident that everything going on behind the scenes is under control and executed flawlessly for a seamless experience for you and your guests.” – Bri and Katie, The Event Sisters

“Hiring a planner is really about reducing stress and saving time so you can be fully present. Your wedding day should feel seamless (not like you’re managing a project!) Having someone local is also a huge help, especially if you’re planning from out of state. A planner knows the area, the vendors, and the little details that make everything run smoothly.” – Rachel, Luxe and Low-Key Events

“A wedding planner translates your vision into reality while saving you time, money, and stress. We know which vendors actually deliver, how to structure timelines so your guests enjoy themselves, and how to solve problems before they become disasters. Most importantly, we make sure you’re present at your own wedding instead of tracking down the cake or managing your drunk uncle. You wouldn’t cater your own wedding; don’t coordinate it either.” – Danielle, Green Mountain Gatherings

“A wedding planner gives you something that is hard to put a price on: peace of mind. Planning a wedding is exciting, but it also comes with hundreds of decisions, moving parts, and unexpected challenges. My job is to guide you through each step, keep everything organized, advocate for you, and make sure you can actually enjoy it all. On your wedding day, I want you to be fully present, soaking in every moment instead of wondering what’s happening behind the scenes. Years from now, I don’t want you to remember feeling stressed about your timeline or wondering if the florist arrived. I want you to remember the way your partner looked at you during your first dance, the hugs from your family, the laughter with your friends, and the feeling of being completely present. Those are the moments that matter most, and I feel so fortunate to play a small role in that.” – Carly, Three Hearts Studio

How far in advance should couples book their Vermont wedding planner, and what should they have prepared for the first consultation?

“Book 8-12 months out, especially in Vermont where good designers fill up fast for peak season. For your first meeting, bring venue details and photos, your color palette, and your actual budget. Be honest about what you can spend—a good florist can work with any number, but they need to know it upfront. Bring inspiration photos too, but focus on the feeling you want, not exact replications of someone else’s wedding.” – Danielle, Green Mountain Gatherings

“If you are planning a full wedding, ideally you want to book your planner 8- 12 months out, especially for peak dates. The best planners book up fast, and the earlier you bring us in, the more we can actually help you. For your first consultation, come with: A general idea of your vision or vibe, even if it is just a feeling, a rough guest count, a realistic budget range,  and your top 3 priorities for the day. Any venues or vendors you are already considering is also helpful.” -Jaclyn, Jaclyn Watson Events

What’s the difference between a full-service planner, partial planning, and day-of or month-of coordination?

“This is a great question! A full-service planner works with the couple from start to finish on every detail throughout the planning process.  From choosing and securing your venue and vendors, creating and managing the wedding budget, creating the design and color palette, through seamless execution of the wedding weekend. This is ideal for a couple that does not have the extra time to focus on planning and prefers to just focus on the FUN aspects and enjoy their engagement. Partial Planning is more of a partnership between the planner and the clients. This form of planning is best suited for those couples who want to be more involved in the planning process but could still use recommendations on what will be best for them. Month of Planning is best for those couples who want to be fully hands-on. They’ve enjoyed the planning process, created a beautiful design, but now are ready to hand over the reins and let someone else take control in managing the last-minute tasks, logistics, vendor management, and execution in those weeks leading up to the big day!” – Bri & Katie, The Event Sisters

“Even for small weddings or elopements, I always recommend at least having a coordinator. It’s about more than just keeping a timeline,  it’s about helping you stay in the moment, adding special touches, and taking care of all the little things you won’t want to think about on your wedding day. And I would like to add that planners are different than venue coordinators. Unlike a venue coordinator, my focus is on you. Venue staff are amazing partners (and planners love working with them!), but their priority is the venue itself. My job as a Vermont wedding planner is to be your advocate, making sure the day feels like your vision, not just what works best logistically for the space.” – Rachel, Luxe and Low-Key Events

What is a misconception couples have about wedding planners, or what is something that you wish they knew?

“The biggest one is that hiring a planner is a luxury only big-budget couples can afford. The truth is, a good planner often saves you money. We know which vendors are worth the investment, which ones are not, and how to allocate your budget, and find ways to save.  We catch costly mistakes before they happen. We negotiate. We know what is normal to pay and what is inflated. The other thing I wish couples knew is that we are not there to take over your wedding. We are there to protect your vision and make sure it actually happens. The best planning relationships feel like a really good partnership, not like handing the reins to a stranger.” – Jaclyn, Jaclyn Watson Events

“A big misconception is that planners are only for big weddings. I’ve worked with plenty of couples who eloped  in Vermont and initially thought they didn’t need anyone, but afterward, they’ve told me how grateful they were to have me. Sometimes that means officiating, curating local vendors, decorating their Airbnb, running day-of errands, or even just cleaning up after the ceremony so they could go adventure with their photographer. It’s about creating space for them to focus on each other while still having those meaningful, polished touches.” – Rachel, Luxe and Low-Key Events

“I wish more couples knew that hiring a planner doesn’t mean giving up control. It actually gives you more freedom to enjoy the process. My role isn’t to make decisions for you. It’s to provide guidance, present options, handle the logistics, and bring your vision to life while removing as much stress as possible. I also think many couples don’t realize just how much happens behind the scenes. Long before your wedding day, your planner is coordinating vendors, confirming timelines, troubleshooting logistics, answering questions, and making sure every detail is accounted for so you don’t have to carry that mental load yourself.” – Carly, Three Hearts Studio

“A common misconception about wedding planners is that they aren’t necessary if you’re highly organized or have a friend or family member who can help on the wedding day. One of the first questions we ask in that situation is, “Will that person also be a guest at your wedding?” We often receive a perplexed look then explain that wedding planners do far more than manage logistics. They create and oversee timelines, coordinate vendors, solve problems behind the scenes, guide budgeting and vendor decisions, advocate for couples throughout the planning process, and thoughtfully design the overall guest experience… A wedding planner isn’t a luxury; they’re the reason couples, their families, and their friends can be fully present and truly enjoy every moment of the wedding day!” – Bri and Katie, The Event Sisters

“How much time vendor management actually takes. It’s not just booking people. It’s also answering their questions, coordinating load-in times, confirming details repeatedly, solving conflicts between vendor schedules, making sure everyone has the right information. Couples think they’re hiring five vendors. They don’t realize they’re actually managing five small businesses, each with different communication styles and requirements. That invisible coordination by a wedding planner is what makes everything look effortless in the end.” – Danielle, Green Mountain Gatherings

What’s your top piece of advice for couples starting their planning process?

“If you have a voice in your head telling you to downsize or elope, don’t ignore it. Give yourself permission to explore what that could look like. There are so many beautiful possibilities when you let go of the pressure to fit a certain mold when it comes to your wedding day. ” – Rachel, Luxe and Low-Key Events

“Start with your priorities before you start booking vendors. Sit down together and decide what matters most to the two of you. Maybe it’s incredible food, amazing photography, live music, creating a beautiful guest experience, or simply spending as much time as possible with the people you love. Once you know your priorities, your budget and decisions become so much easier because you’re investing in what truly matters to you.” –Carly, Three Hearts Studio

“Book your venue and planner first, then build everything else around those decisions. Your venue dictates your style, logistics, and vendor needs. Your planner makes sure you book the right vendors in the right order and avoid expensive mistakes. Everything else flows more easily once that foundation is set.” – Danielle, Green Mountain Gatherings

What’s one thing couples are often surprised to learn about wedding planning?

“They’re usually surprised by just how many little details go into a wedding day. It’s not just choosing flowers and music. It’s creating timelines, coordinating deliveries, managing family dynamics, confirming vendor logistics, planning rain backups, organizing décor, answering vendor questions, and making hundreds of decisions that guests will never notice, but absolutely appreciate.” – Carly, Three Hearts Studio

“Planning a singular wedding truly is another full time job. Making one decision often requires dozens of emails, scheduling meetings around multiple people’s schedules, reviewing contracts, and making what feels like millions of micro-decisions regarding timelines, floor plans, rain plans, transportation, rental inventory planning, narrowing down color palettes, and managing multiple personalities while being held to the highest expectations of the couple to carry out flawless execution of their wedding day.” – Katie and Bri, The Event Sisters

“How emotional it can be, and not always in the way they expected. Yes, there are beautiful moments and happy tears. But there is also family pressure, unexpected budget stress, opinions from people who were not asked, and decisions that feel way bigger than they actually are in the moment. What surprises couples most is that having a planner does not just help the logistics, it actually helps the relationship. When you have someone in your corner managing the hard stuff, you and your partner get to stay focused on each other. That is the part people do not always see coming, and honestly, it is one of my favorite things about this work.” – Jaclyn, Jaclyn Watson Events

How would you describe your planning style and the type of couples you love to work with?

“I create organic, modern celebrations rooted in hospitality and joy. My approach is warm and direct. I tell you what works, what doesn’t, and why. No fluff, no unnecessary options. The goal is always guest experience and genuine celebration. I work best with couples who value quality over trends, who want their wedding to feel like an elevated dinner party rather than a show, and who trust expertise. ” – Danielle, Green Mountain Gatherings

“I’d describe my style as relaxed and collaborative, but also detail-oriented. I think a lot about transitions- where you want to be at different moments, how the energy flows, and how to create those in-between memories. I’m also non-traditional at heart. I love throwing out the cookie-cutter playbook and making the day truly yours. The couples I connect with most are creative, adventurous, and intentional. They’re the ones who want to think outside the box, whether that’s eloping on a mountain or hosting an intimate dinner party that feels like home.” – Rachel, Luxe and Low-Key Events

“We would describe our planning style as warm, welcoming, elevated, creative, and detail-oriented. Our goal is to build strong and trusting relationships with our Clients first and foremost. We fully understand that they are trusting us with one of the most important days of their lives, so it’s extremely important that we are all comfortable and can have open communication throughout the planning process. Couples we love to work with are those who value meaningful moments, appreciate beautifully curated design, and want a trusted partner to take stress off their shoulders so they can be fully present on their wedding day.” – Bri and Katie, The Event Sisters

” My style is warm, organized, and detail-obsessed, without making you feel like you are managing me or doing extra work. I want the process to feel as good as the wedding day itself. I want you to feel like you are an extension of my family, and it’s one of the reasons my team and I only take 8-10 clients a year. I love working with couples who care deeply about the guest experience, who want their wedding to feel like THEM and not just a template. My couples tend to be thoughtful, have a clear sense of what matters to them, and they trust the process. They want a planner who will take the wheel but always keep them in the loop. If you want a wedding that feels intentional, personal, and honestly, just really beautiful, we are going to get along great!” – Jaclyn, Jaclyn Watson Events

“My planning style is calm, organized, and incredibly hands-on. I want my couples to feel like they always have someone they can call, text, or email when questions pop up. I believe the planning process should feel exciting, collaborative, and enjoyable, not overwhelming. With my background in interior design, I naturally think about both the beauty of a wedding and the way it functions. I love creating thoughtful layouts, designing spaces that feel welcoming, and making sure every logistical detail has been carefully considered so the day flows effortlessly from beginning to end, including the reception layout! I especially love working with kind, down-to-earth couples who care deeply about creating a meaningful experience for their family and friends. Whether your wedding is an intimate celebration or a 250-person weekend, I truly enjoy getting to know each couple and becoming part of their journey. One of the greatest gifts this role has given me is the friendships I’ve built along the way. Staying connected after the wedding day is something I never expected, but cherish so much. After spending months planning such an important chapter of their lives together, saying goodbye at the end of the wedding day is always bittersweet. ” –  Carly, Three Hearts Studio

Rustic Meets Romance at This Barn at Boyden Farm Wedding

If you’re dreaming of a fall Vermont wedding that feels romantic, a little rustic, and effortlessly elegant, Beth and Gray’s day at The Barn at Boyden Farm is such a great celebration to add to your Pinterest board! Set against Vermont’s rolling countryside, their celebration was filled with thoughtful details and moments that felt genuinely them. At the heart of it all was a simple idea: to bring their loved ones into a place and a story that means so much to them. Keep reading for all the sweet moments and the beautiful images captured by Vermont wedding photographer, Damini Photography.

A Perfect Match at The Barn at Boyden Farm

From the very beginning, Beth and Gray envisioned a wedding day that was about more than just the two of them; it was about sharing something meaningful with the people they love most. Set during Vermont’s quintessential peak foliage season, their celebration became an invitation for family and friends to fully experience the magic of the state, from its vibrant landscapes to its quiet, scenic charm. They wanted their loved ones not only to witness their love story but to explore the place that means so much to them.

During their very first visit to The Barn at Boyden Farm, it was clear their vision aligned effortlessly with the space. While some couples need time to imagine how their day will come to life, Beth and Gray arrived with a sense of excitement and clarity that made everything feel immediately possible. As planning unfolded, they built a talented team of Vermont wedding professionals who helped bring each detail together with care and intention.

A Vermont Fall Ceremony & Reception to Remember

Beth and Gray’s day was beautifully captured by Damini Photography, preserving each meaningful and joyful moment, while Perfect Cadence Events documented the day in motion, allowing the couple to relive their special day for years to come. The morning of the wedding began with a calm, joyful energy as Beth got ready, surrounded by her closest loved ones. She wore a beautifully embroidered robe while being pampered by Amanda Sue Studios. Nearby, Gray prepared for the celebration in a striking red suit paired with a bowtie, a bold and thoughtful choice that perfectly reflected the rich tones of Vermont’s fall foliage!

Set at the post-and-beam pavilion, the couple’s ceremony unfolded against sweeping mountain views. As Beth made her way down the aisle, all eyes turned to Gray, whose emotional reaction said everything, quietly tearing up as he saw her. (Just wait until you see the photos!) It was a moment that felt both deeply personal, setting the tone for the heartfelt vows that followed. Surrounded by nature and their loved ones, the scene was as meaningful as it was beautiful.

As guests transitioned from ceremony to celebration, the flow of the day felt effortless, a reflection of the thoughtful planning and expert coordination by Green Mountain Gatherings. Every moment was carefully guided behind the scenes, allowing Beth and Gray to be fully present and soak in the joy of the day.

The reception inside the venue’s historic hayloft barn was a perfect blend of Vermont charm and elevated elegance. Guests were welcomed by a creative seating display featuring bottles of wine, a thoughtful touch that set the tone for the evening ahead. Catering by Waterfront Catering Group delighted guests with a memorable dining experience, while Fluid Bar Services kept glasses full as loved ones gathered to toast the newlyweds.

To kick off the dance floor, Beth and Gray added a fun and interactive twist with a round of the classic wedding shoe game. Sitting back-to-back, they each held one of their own shoes and one of their partner’s, answering playful questions by raising the shoe that matched their answer to various “who’s more likely to…” prompts, which had guests laughing and cheering along. It was the perfect way to break the ice and ease everyone into a lively night on the dance floor. Music by Supersounds carried the celebration late into the evening, filling the space with energy and excitement.

The dessert spread was equally memorable, featuring a cake adorned with a Polaroid taken earlier that day. Guests were also treated to a delightful dessert spread from Sweet Vermont Treats, adding a sweet ending to an already unforgettable day. Romantic, rustic, and elegant in every sense, their day at The Barn at Boyden Farm was a beautiful reminder of what makes Vermont weddings, especially in the fall, so romantic.

Congratulations, Beth and Gray, on your beautiful day!

One of our favorite moments of the year has officially arrived: the Vermont Weddings Best Of Series. Today, we’re celebrating the just-married moments, the ones that happen when the ceremony ends and it finally sinks in -“we did it!”

These are the moments filled with pure emotion and release. The walk back up the aisle hand in hand, grinning through happy tears. This Best Of category honors the instant a couple officially becomes married, whether it’s celebrated with cheers and confetti or shared in a quiet, stolen glance. Pretty in Pink: An Inside Look At This Couple’s Joyful Vermont Wedding

Born and raised in Vermont, Orla and Jess always dreamed of getting married in the mountains. Charmingly tucked under Mount Mansfield, there was no better spot for their wedding than the Squabetty family homestead. The happy couple’s special day was filled to the brim with nature, vintage charm, romance, and a whole lot of pink! We can’t wait for you to see all of the beautiful moments from this day as photographed by Mia Moran Photography and coordinated by Vermont wedding planner Danielle McFarland from Green Mountain Gatherings.

From Saving Lives to Finding Love

As a medevac helicopter pilot and a critical care transport nurse, Orla and Jess’s love story began at work. While their story started with friendship, over time their bond grew into the relationship they both had been waiting for their whole lives!

Jess introduced Orla to the show The Office, where the love story between Jim and Pam unfolds. In so many ways, Jess and Orla are the Jim and Pam of their own love story. (Love that!) The couple got engaged in Ireland, which holds deep meaning for Orla, as both of her parents were born there, and her mother was buried there. Jess proposed on the Cliffs of Moher, a stunning and unforgettable location for the both of them.

A Pink-Themed Party with Heart Sunglasses, Bluegrass Beats, and All the Joy

As a couple who spent so much time outdoors– skiing, hiking, and embracing every season and activity together- picking  Vermont, and ultimately, Squabetty as their wedding location was an easy choice; it truly felt like home! Jess and Orla knew from the start that they wanted their wedding day to be vibrant, joyful, and full of personality. To set the tone, they chose a lively bluegrass band that kept the energy high throughout the celebration. They also encouraged guests to lean into a playful pink dress code—and let’s just say, everyone understood the assignment! Before the festivities kicked off, Orla got ready with her bridesmaids in matching robes and fun heart-shaped sunglasses, setting the stage for a morning filled with laughter and anticipation ahead of the couple’s sweet first look.

Moving violin music played as Orla and Jess came together for their ceremony, sharing vows that expressed a love deeper than they had ever imagined before meeting one another. They stood beneath a unique triangle arch (its shape mirroring the surrounding mountain peaks!), creating a striking focal point. Following the ceremony, guests enjoyed a relaxed cocktail hour complete with lawn games, cozy lounge seating, and a spread of delicious bites from Caja Madera. With gorgeous pops of color and vintage charm, courtesy of Orla’s epic thrifting and collecting skills, this wedding was truly an event bursting with charm!

The celebration continued in a beautifully decorated event barn, adorned with lush florals by Pistil Production, personal photos, and vintage glassware collected throughout the planning process. One of the most important elements of Orla and Jess’s wedding was a memorial table dedicated to Orla’s mother and best friend. We also love the couple’s epic dessert display, crowned with a custom cake topper that paid homage to the couple’s shared careers, a personal and meaningful detail that guests won’t soon forget.

While their wedding day was certainly memorable on its own, the most unforgettable moments were the love, support, and help the couple received from their friends and family. Congratulations, Orla and Jess!
