Why should couples consider hiring a Vermont wedding planner?
One of the biggest decisions couples make during the wedding planning process is whether to hire a wedding planner. While every celebration is different, our Vermont wedding planners overwhelmingly agree: having an experienced professional by your side can save you time, reduce stress, and ultimately help you create a wedding day that feels more meaningful and enjoyable.
“Your wedding day is one of the most important days of your life, and you deserve to actually enjoy it. A good wedding planner is not just someone who makes lists. We are your advocate, your logistics expert, your design partner, and honestly, your buffer between you and all the moving parts that a wedding has. We know all the vendors, we create amazing timelines, we know what questions to ask before any problems even show up. Most couples have never planned a wedding before. We do this every single season. That experience protects you, your budget, and your peace of mind in ways you cannot fully appreciate until you are standing at the altar and everything just… flows.” – Jaclyn, Jaclyn Watson Events
“Couples should 1000% hire a wedding planner so that they can truly ENJOY the planning process while putting the stress on someone else to manage the day to day to-do lists, vendors, timelines, and logistics. Wedding Planners provide expert guidance, prioritize what matters most to YOU, bring your design and vision to life, and ensure that you can be fully present on your wedding day. The day flies by so quickly and you want to be able to soak it all in while feeling confident that everything going on behind the scenes is under control and executed flawlessly for a seamless experience for you and your guests.” – Bri and Katie, The Event Sisters
“Hiring a planner is really about reducing stress and saving time so you can be fully present. Your wedding day should feel seamless (not like you’re managing a project!) Having someone local is also a huge help, especially if you’re planning from out of state. A planner knows the area, the vendors, and the little details that make everything run smoothly.” – Rachel, Luxe and Low-Key Events
“A wedding planner translates your vision into reality while saving you time, money, and stress. We know which vendors actually deliver, how to structure timelines so your guests enjoy themselves, and how to solve problems before they become disasters. Most importantly, we make sure you’re present at your own wedding instead of tracking down the cake or managing your drunk uncle. You wouldn’t cater your own wedding; don’t coordinate it either.” – Danielle, Green Mountain Gatherings
“A wedding planner gives you something that is hard to put a price on: peace of mind. Planning a wedding is exciting, but it also comes with hundreds of decisions, moving parts, and unexpected challenges. My job is to guide you through each step, keep everything organized, advocate for you, and make sure you can actually enjoy it all. On your wedding day, I want you to be fully present, soaking in every moment instead of wondering what’s happening behind the scenes. Years from now, I don’t want you to remember feeling stressed about your timeline or wondering if the florist arrived. I want you to remember the way your partner looked at you during your first dance, the hugs from your family, the laughter with your friends, and the feeling of being completely present. Those are the moments that matter most, and I feel so fortunate to play a small role in that.” – Carly, Three Hearts Studio
How far in advance should couples book their Vermont wedding planner, and what should they have prepared for the first consultation?
“Book 8-12 months out, especially in Vermont where good designers fill up fast for peak season. For your first meeting, bring venue details and photos, your color palette, and your actual budget. Be honest about what you can spend—a good florist can work with any number, but they need to know it upfront. Bring inspiration photos too, but focus on the feeling you want, not exact replications of someone else’s wedding.” – Danielle, Green Mountain Gatherings
“If you are planning a full wedding, ideally you want to book your planner 8- 12 months out, especially for peak dates. The best planners book up fast, and the earlier you bring us in, the more we can actually help you. For your first consultation, come with: A general idea of your vision or vibe, even if it is just a feeling, a rough guest count, a realistic budget range, and your top 3 priorities for the day. Any venues or vendors you are already considering is also helpful.” -Jaclyn, Jaclyn Watson Events
What’s the difference between a full-service planner, partial planning, and day-of or month-of coordination?
“This is a great question! A full-service planner works with the couple from start to finish on every detail throughout the planning process. From choosing and securing your venue and vendors, creating and managing the wedding budget, creating the design and color palette, through seamless execution of the wedding weekend. This is ideal for a couple that does not have the extra time to focus on planning and prefers to just focus on the FUN aspects and enjoy their engagement. Partial Planning is more of a partnership between the planner and the clients. This form of planning is best suited for those couples who want to be more involved in the planning process but could still use recommendations on what will be best for them. Month of Planning is best for those couples who want to be fully hands-on. They’ve enjoyed the planning process, created a beautiful design, but now are ready to hand over the reins and let someone else take control in managing the last-minute tasks, logistics, vendor management, and execution in those weeks leading up to the big day!” – Bri & Katie, The Event Sisters
“Even for small weddings or elopements, I always recommend at least having a coordinator. It’s about more than just keeping a timeline, it’s about helping you stay in the moment, adding special touches, and taking care of all the little things you won’t want to think about on your wedding day. And I would like to add that planners are different than venue coordinators. Unlike a venue coordinator, my focus is on you. Venue staff are amazing partners (and planners love working with them!), but their priority is the venue itself. My job as a Vermont wedding planner is to be your advocate, making sure the day feels like your vision, not just what works best logistically for the space.” – Rachel, Luxe and Low-Key Events
What is a misconception couples have about wedding planners, or what is something that you wish they knew?
“The biggest one is that hiring a planner is a luxury only big-budget couples can afford. The truth is, a good planner often saves you money. We know which vendors are worth the investment, which ones are not, and how to allocate your budget, and find ways to save. We catch costly mistakes before they happen. We negotiate. We know what is normal to pay and what is inflated. The other thing I wish couples knew is that we are not there to take over your wedding. We are there to protect your vision and make sure it actually happens. The best planning relationships feel like a really good partnership, not like handing the reins to a stranger.” – Jaclyn, Jaclyn Watson Events
“A big misconception is that planners are only for big weddings. I’ve worked with plenty of couples who eloped in Vermont and initially thought they didn’t need anyone, but afterward, they’ve told me how grateful they were to have me. Sometimes that means officiating, curating local vendors, decorating their Airbnb, running day-of errands, or even just cleaning up after the ceremony so they could go adventure with their photographer. It’s about creating space for them to focus on each other while still having those meaningful, polished touches.” – Rachel, Luxe and Low-Key Events
“I wish more couples knew that hiring a planner doesn’t mean giving up control. It actually gives you more freedom to enjoy the process. My role isn’t to make decisions for you. It’s to provide guidance, present options, handle the logistics, and bring your vision to life while removing as much stress as possible. I also think many couples don’t realize just how much happens behind the scenes. Long before your wedding day, your planner is coordinating vendors, confirming timelines, troubleshooting logistics, answering questions, and making sure every detail is accounted for so you don’t have to carry that mental load yourself.” – Carly, Three Hearts Studio
“A common misconception about wedding planners is that they aren’t necessary if you’re highly organized or have a friend or family member who can help on the wedding day. One of the first questions we ask in that situation is, “Will that person also be a guest at your wedding?” We often receive a perplexed look then explain that wedding planners do far more than manage logistics. They create and oversee timelines, coordinate vendors, solve problems behind the scenes, guide budgeting and vendor decisions, advocate for couples throughout the planning process, and thoughtfully design the overall guest experience… A wedding planner isn’t a luxury; they’re the reason couples, their families, and their friends can be fully present and truly enjoy every moment of the wedding day!” – Bri and Katie, The Event Sisters
“How much time vendor management actually takes. It’s not just booking people. It’s also answering their questions, coordinating load-in times, confirming details repeatedly, solving conflicts between vendor schedules, making sure everyone has the right information. Couples think they’re hiring five vendors. They don’t realize they’re actually managing five small businesses, each with different communication styles and requirements. That invisible coordination by a wedding planner is what makes everything look effortless in the end.” – Danielle, Green Mountain Gatherings
What’s your top piece of advice for couples starting their planning process?
“If you have a voice in your head telling you to downsize or elope, don’t ignore it. Give yourself permission to explore what that could look like. There are so many beautiful possibilities when you let go of the pressure to fit a certain mold when it comes to your wedding day. ” – Rachel, Luxe and Low-Key Events
“Start with your priorities before you start booking vendors. Sit down together and decide what matters most to the two of you. Maybe it’s incredible food, amazing photography, live music, creating a beautiful guest experience, or simply spending as much time as possible with the people you love. Once you know your priorities, your budget and decisions become so much easier because you’re investing in what truly matters to you.” –Carly, Three Hearts Studio
“Book your venue and planner first, then build everything else around those decisions. Your venue dictates your style, logistics, and vendor needs. Your planner makes sure you book the right vendors in the right order and avoid expensive mistakes. Everything else flows more easily once that foundation is set.” – Danielle, Green Mountain Gatherings
What’s one thing couples are often surprised to learn about wedding planning?
“They’re usually surprised by just how many little details go into a wedding day. It’s not just choosing flowers and music. It’s creating timelines, coordinating deliveries, managing family dynamics, confirming vendor logistics, planning rain backups, organizing décor, answering vendor questions, and making hundreds of decisions that guests will never notice, but absolutely appreciate.” – Carly, Three Hearts Studio
“Planning a singular wedding truly is another full time job. Making one decision often requires dozens of emails, scheduling meetings around multiple people’s schedules, reviewing contracts, and making what feels like millions of micro-decisions regarding timelines, floor plans, rain plans, transportation, rental inventory planning, narrowing down color palettes, and managing multiple personalities while being held to the highest expectations of the couple to carry out flawless execution of their wedding day.” – Katie and Bri, The Event Sisters
“How emotional it can be, and not always in the way they expected. Yes, there are beautiful moments and happy tears. But there is also family pressure, unexpected budget stress, opinions from people who were not asked, and decisions that feel way bigger than they actually are in the moment. What surprises couples most is that having a planner does not just help the logistics, it actually helps the relationship. When you have someone in your corner managing the hard stuff, you and your partner get to stay focused on each other. That is the part people do not always see coming, and honestly, it is one of my favorite things about this work.” – Jaclyn, Jaclyn Watson Events
How would you describe your planning style and the type of couples you love to work with?
“My planning style is calm, organized, and incredibly hands-on. I want my couples to feel like they always have someone they can call, text, or email when questions pop up. I believe the planning process should feel exciting, collaborative, and enjoyable, not overwhelming. With my background in interior design, I naturally think about both the beauty of a wedding and the way it functions. I love creating thoughtful layouts, designing spaces that feel welcoming, and making sure every logistical detail has been carefully considered so the day flows effortlessly from beginning to end, including the reception layout! I especially love working with kind, down-to-earth couples who care deeply about creating a meaningful experience for their family and friends. Whether your wedding is an intimate celebration or a 250-person weekend, I truly enjoy getting to know each couple and becoming part of their journey. One of the greatest gifts this role has given me is the friendships I’ve built along the way. Staying connected after the wedding day is something I never expected, but cherish so much. After spending months planning such an important chapter of their lives together, saying goodbye at the end of the wedding day is always bittersweet. ” – Carly, Three Hearts Studio
